  • Position Summary:


    Supports the Office Services and Facilities team in providing a safe, efficient and attractive office environment for the Boston population.  Works with internal clients and the administrative team, supporting the business needs and optimizing services.  Monitors building needs and reports/acts on improvement opportunities.       

    Responsibilities & Duties:


    • Supports Mail, Document, and Facilities operations in the Boston Office
    • Troubleshoot basic equipment problems
    • Manage relations and communication with stakeholders and leadership, assisting with resolving issues/concerns
    • Maintaining storage areas to assure they are organized
    • Prepares offices and desk space for staff- arranging, moving, filling supplies and cleaning when required
    • Audits office floors daily to assure they are being well maintained and tends to items that need attention
    • Serve as back up to front desk in answering phones, greeting guests, catering, assist with general inquiries and confirm meeting space
    • Back up for stocking of general office supplies and maintain appearance of general use areas (e.g., copy room, coffee/vending areas, etc)
    • Additional duties may include: reviewing invoices for accuracy and contract details and following up with vendor with discrepancies or issues.
    • Under supervision, complete a wide range of Office Services customer services activities such as workspace set-up, catering, reception, floor operations support, space utilization management or other location services.
    • May greet/direct employees and visitors, issue visitor access cards, answer general inquires, assist in resolving issues/concerns or direct them to the appropriate resource.
    • Adheres to and provides input on administrative policies related to security, safety, confidentiality, business-continuity and emergency planning.
    • Monitoring, ordering and stocking of copy, binding, kitchen and other building related supplies
    • Performs other job-related responsibilities and projects as assigned
    • Must be able to lift up to 50 lbs. on a regular basis



    • High school diploma with some additional training in the Hospitality/Office Services/Facilities fields.
    • A minimum of 1-2 years’ experience in an office services/facilities role in a class-A professional services setting
    • Strong organization, communication, interpersonal, and problem solving skills
    • Strong customer service focus
    • Meticulous attention to detail
    • Proficiency with office-management computer programs and business applications
