  • Supports the Office Services team in providing a safe, efficient and attractive office environment. Provides ongoing support to internal and external clients in the areas of facilities, administration and reception.  Monitors office needs and reports/acts on needs and improvement opportunities.  Assists supervisor with vendor orders and coding and approval of invoices.  Provides backup support to Reception as needed.

    • Prepare and maintain public office spaces, kitchen and supply area on a daily basis
    • Ensure spaces are clean and organized
    • Restock and/or re-order inventory as needed
    • Coordinate and assist in setup and cleanup of conference rooms and equipment as required for meetings
    • Monitor working order of copiers and printers
    • Assist with copy and binding projects as requested
    • Process and distribute all incoming mail and packages
    • Provide outgoing shipping support
    • Clean and prepare office/desk space for new hires and assist staff with moves as needed
    • Monitor building needs and respond to installation and maintenance requests
    • Relieve Receptionist on a rotation basis for coverage during lunch or other times as required
    • Coordinate business card orders including sending request forms, processing and placing orders and distributing upon arrival
    • Place orders with multiple vendors and maintain vendor relationships.  Vendors may include courier services, janitorial services, plant maintenance, archiving and/or shredding services, repair services or other service providers as required
    • Accounts payable
    • Code invoices for Office Services using the AP Workflow system
    • Serve as point person for Office Services when the Manager is out of the office
    • Serve as mentor for junior Office Services staff members
    • Perform other duties as assigned or required

    • Strong customer service focus and meticulous attention to detail
    • Strong organization, communication, interpersonal and problem solving skills
    • Ability to work effectively with a diverse group of individuals at all levels of the organization
    • Proficiency with office-management computer programs and business applications
    • Ability to work independently and prioritize daily activities under the general guidance of supervisor
    • Ability to lift up to 50 pounds
    • Ability to regularly lift loads of 20 pounds
    • 2-4 Years Experience working in facilities or office services preferred
