  • Overview

    Based in our EMEA Shared Service Centre (SSC) in Warsaw, the HR Manager has a central role in the SSC office, providing professional HR advice and support to all areas of SSC Operations.  Specific responsibilities include recruiting and induction of new hires, training and PD for SSC staff, designing and ensuring the consistent application of HR policies and procedures, managing employment issues, providing employee relations and employment law advice and guidance to the Leadership Team. The role encompasses supporting the leadership team in hiring, motivating, mentoring and retaining SSC staff, which is paramount for the success of the SSC. Key performance indicators are (non-exclusive list):

    • Time required to fulfil vacant SSC positions
    • WWES scores (Office employee satisfaction for the EMEA SSC)
    • Attrition rate (SSC operation teams)
    • Absenteeism ratio (SSC operations teams)

     

    The EMEA SSC HR and Recruiting Manager is expected to operate fluently in English at C2 level (or Cambridge Certificate of Proficiency in English) and Polish. Fluency in additional EMEA languages is desirable, but not critical for the role.

     

    The EMEA SSC HR and Recruiting Manager will build a strong service-oriented HR/Recruiting team to support SSC operations and management.

    Responsibilities

    Recruitment and selection

    • Coordinate SSC recruitment process for all teams
    • Manage relationships with recruitment agencies
    • In conjunction with SSC Management recommend selection criteria, and review applications
    • Screen and interview candidates, in conjunction with SSC Management. Agree and generate interview notes
    • Coordinate with Global HR 3rd/final round
    • Extend job offers

     

     

    Induction for SSC hires

    • Organise and run induction sessions for all SSC hires. 
    • Actively pursue with SSC Management successful outcome of probationary period for new entrants, ensuring appropriate documentation is prepared and delivered in a timely fashion, and ensuring quality input is received from supported offices

     

    Training & PD

    • Manage with SSC Management training plans for each SSC team (content, frequency, channels, trainers)
    • Conduct catch ups with all SSC staff on a regular basis, provide support to SSC Management on skill plans, summary updates and track progression
    • Manage the SSC mentoring process (selection, training, motivation of mentors)
    • Manage yearly review process for all SSC staff, in coordination with Global HR
      • Nominations
      • Rating consistency
      • Quality control for all SSC reviews
      • Promotion decisions

     

    Staff Motivation

    • Analyse Worldwide Employee Survey (WWES) results and design/implement action plans, as needed.

     

    Employee administration

    • Establish employment contracts
    • Ensures accurate and timely Workday data entry
    • Manages inter-office transfers
    • Manage compensation processes (in close coordination with global HR)
    • Manage exit procedures
    • Implement global Bain HR programmes, and design additional local programmes as necessary
    • Manage SSC benefits programs (in close coordination with payroll team)
    • Coordinate with the payroll team

     

    Policy and risk management

    • Provide coaching and advice to SSC management on HR programme initiatives and how to manage employee related issues within their teams. Work collaboratively with SSC Management on various initiatives including performance and promotion management, communication, morale, and retention efforts.
    • Take leadership role in minimizing employment law risk. Keep abreast of changing employment law, re-drafting and implementing policies (e.g., work from home, flex, vacation), and advising management accordingly.  Act as one of the individuals to whom employees can raise related concerns. 
    • Act as main point of contact for all employee relations issues, specifically, grievance, discipline and performance related issues. Provide counselling, guidance and coaching for employees, helping them handle difficulties and diffusing situations.

     

    HR management

    • As the SSC grows, build and manage the HR team to high standards. Maintain all HR systems and activities, reviewing constantly to ensure high levels of customer service, efficiency and accuracy.  Manage and develop HR team members.  Develop and manage departmental budget.
    • Actively participate as member of Bain's worldwide HR manager team. Participate in group calls and meetings.  Contribute to projects and experience sharing as necessary.

     

    These responsibilities are by no means exhaustive and the EMEA SSC HR and Recruiting Manager will be expected to be involved in additional projects/tasks as required.

    Qualifications

    • Broad HR skill-set, with a focus on HR operations, Polish employment law and employee relations
    • Demonstrated success in managing complex employee issues (at least 8 years)
    • History of advising staff and management
    • Experience supervising others
    • Familiarity/comfort using HRIS tools, ideally Workday
    • Background in a professional services environment or a Shared Services Centre would be an advantage
    • Demonstrated ability to deliver project initiatives according to deadlines in a cooperation with multiple stakeholders
    • Demonstrated ability to manage change
    • Educated to degree level with preferably CIPD qualification or equivalent

    Hours:

    The number of working hours will not exceed eight hours a day and an average of 40 hours per week in an average five-day working week for a full time employee.

    Daily working hours can be extended and balanced by shorter daily working time on other days or by days off. Paid overtime will not exceed 150 hours per calendar year and will have to be approved in advance by his/her supervisor.
