  • Overview

    Perform diversified duties to support Executive Assistants and Manager Assistants on an ongoing basis. The EA/MA Floater is responsible for providing administrative assistance for Partners and Managers including: receiving/screening incoming calls, coordinating calendars, scheduling meetings/travel and assisting EA/MA colleagues with urgent requests, as needed.

    Responsibilities

    EA/MA Department Assistance

    • Assist EA/MA team with work overflow, including but not limited to expenses, meeting scheduling, graphic assistance, travel, time submission, CRM updating, phone coverage, mail merges, etc.

     

    • Work with the EA/MA Team Coordinator to plan coverage and maintain the floater calendar

    Executive Assistant/Manager Assistant (responsibilities might include, but are not limited to):

     

    • Receive, screen, and route all incoming telephone calls
    • Coordinate calendars and schedule meetings
      • Proactively recognize the impact of a shift in priorities and take the necessary actions to reschedule, often at short notice, communicating changes to all impacted participant
    • Coordinate travel arrangements with Bain Travel (domestic/international) including air, hotel, ground transportation and meal reservations
      • Ensure timely administration of any required visa/travel documentation processes
    • Build and maintain cooperative relationships with clients and colleagues at all levels both internally and externally
    • Compile and submit time and expense reports according to established schedule
    • Reconcile credit card statements and resolve discrepancies
    • Organize and maintain Partner files
    • Provide back up support for other EAs, as needed
    • Type and proof correspondence including letters, memos, documents and reports
    • Produce computer slide graphics for client presentations
    • Work in a partnering system with other EA/MAs to provide phone coverage/work sharing, etc
    • Perform other related duties as required by management

    Qualifications

    • Minimum 3-5 years corporate business experience, providing direct administrative support to executive levels is required
    • Bachelor’s degree or an equivalent combination of education, training and experience is required
    • Strong interpersonal and customer service skills
    • High degree of flexibility
    • Ability to work independently and as a team player
    • Attention to detail and accuracy
    • Proficiency with the Microsoft Office Suite a must (Microsoft Outlook, Word, Powerpoint, Excel)
