  • Overview

    As a member of the Global Recruiting team, the Recruiting Associate will provide administrative support to the global recruiting leadership team including scheduling and logistics support for meetings and training programs, travel coordination and managing expense reimbursements.  The Associate will also provide project support to the Director of Global Recruiting and other managers, as needed, and will perform other duties as requested. 


    • Provide administrative (Manager Assistant) support to global recruiting leadership
      • Coordinate and schedule meetings for recruiting leadership team/managers
    • Proactively identify and manage calendar conflicts, as necessary 
    • Coordinate travel arrangements as needed including air, hotel, ground transportation and meal reservations
    • Compile and submit time and expense reports on a timely basis and resolve all discrepancies
    • Schedule training sessions managed by recruiting leadership including Decision Driver Training, Messaging Training
    • Utilize Outlook and the recruiting system event scheduling feature to schedule and invite participants for all department run training sessions
    • Coordinate meeting logistics including sending meeting requests, scheduling conference room, set-up AV required, order meals, etc.
    • Provide onsite support and coordination, as needed
    • Track training attendance and support post-meeting feedback/data collection
    • Provide project support to Director of Global Recruiting and other department managers as needed
      • Use Recruiting system dashboard/data to create recruiting summary for Bain Leadership team (i.e. WW Managing Director, Nominating Committee, etc.)
      • Support global transfer process by updating transfer tracker and monitoring status of active transfers; flag transfers needing follow-up from Director
    • Organize and maintain master electronic team and project files. Use SharePoint to store and share files, as appropriate.
    • Maintain access list to MBA Focus (on-line resume book) for global team members; give access to new team members and cancel access as needed
    • Create/update PowerPoint slides for internal meetings
    • Perform other duties and projects as assigned or as responsibilities dictate


    • Manage recruiting ride sharing for all offices
      • Manage all communications and coordination with internal customers and Lyft
      • Create codes for events in a timely manner while keeping track of all data/receipts
      • Expense in a timely manner


    • Bachelor’s degree with a minimum of one year administrative experience in similar role
    • Meticulous attention to detail and zero defect with excellent customer service, communication, and organizational skills
    • Demonstrate a positive attitude when approaching all projects
    • Ability to thrive in a fast-paced and changing environment
    • Ability to meet deadlines, prioritize assignments and juggle multiple tasks simultaneously
    • Ability to demonstrate good judgment and handle highly confidential information in a professional manner
    • Comfort with data and Excel
    • Proficiency in Microsoft Windows, Outlook, Word, Excel and PowerPoint.
