Overview

Provide comprehensive administrative and organizational support services to assigned Partners, including meeting and travel scheduling, coordinating and producing written and verbal correspondence, coordinating internal and external communications, slide production, liaison activities and related ad hoc requests, duties and projects under the direction of and as assigned by Partners following established company policy, operating practice and protocol.

Responsibilities

  • Manage all day to day scheduling activities for assigned Partners including client and non-client meetings.
    • Maintain appointment calendar, coordinate with other internal and external contacts; schedule and reschedule appointments as needed on a daily basis to ensure consistency with predetermined objectives.
    • Coordinate all travel arrangements for assigned Partners to include air travel, hotel, car, and other reservations as required.
  • Coordinate or produce written correspondence and presentation-quality slides in a timely and accurate manner.
  • Review and screen all incoming phone calls to Partners and assist callers in a timely and professional manner.
    • Provide timely response to all callers as indicated by Partner or situation and follow-up on issues as required.
    • Provide assistance to Partners in sending outgoing messages to teams and/or outside clients.
    • Assist the EA team in ensuring there is phone coverage at all times for all VPs.
  • Track and process all Partners expense and time reporting for submission to Finance.
  • Organize and provide file management support to Partners.
    • Maintain accurate records and files including information related to assigned clients, cases, practice areas and internal programs as needed.
  • Organize all internal meetings for Partners to include conference room scheduling and ordering/setup of meals.
  • Coordinate or produce written correspondence and presentation-quality slides in a timely and accurate manner.
  • Maintain Partner’s contact list in Outlook and LinkBain (CRM database).  Ensure contacts are resolved and classified appropriately in LinkBain.  Coordinate Partner’s electronic/print mailings.
  • Support a variety of internal programs and initiatives as required or assigned including recruiting program support and participating in the organization of Caseteam and company-sponsored activities.
  • Perform other duties as assigned or required.

Qualifications

  • BA/BS degree preferred
  • Minimum 3-5 years related administrative support business experience (preferably in a professional services setting).
  • Typing skills of  55+
  • Strong proficiency in Microsoft Windows, Outlook, Powerpoint and Excel
  • Excellent organization and time management skills; strong scheduling skills
  • Highly motivated; self starter
  • Effective written and verbal communication skills
  • Strong customer service focus
  • Meticulous attention to detail and accuracy
  • Works cooperatively with other team members, strong interpersonal skills
  • Handles situations with poise, understanding and tact
  • Ability to work productively both independently and as part of a team
