The Team Leader, Human Resources and Program Manager will be responsible for managing support staff that include Executive Assistants (EA) and Manager Assistants (MA) to ensure the highest level of administrative support to Partners and Managers.  This individual will serve as the primary Supervisor responsible for day-to-day employment matters and performance management process for the EA/MA group.  Other major HR responsibilities include recruiting for Consulting Support Services positions (CSS) and CSS program development, Non-Medical LOA administration; and serving as point-person for transfers in/out of the Bay Area offices


Responsibilities and Duties:

Human Resources Responsibilities:

  • Working closely with Bain’s North America CSS recruiter, manage the recruiting and hiring process for all non-exempt and temporary staff for local CSS employees
  • Establish and maintain on-going relationships with employment agencies
  • Key contact for internal applicants; manage internal posting and employee referral programs
  • Screen and recommend candidates to hiring managers and extend offers if appropriate
  • Develop and work with HR Manager to implement local CSS training program working closely with the CSS management team to conduct needs analyses; manage and maintain CSS mentor and colleague programs
  • Work closely with HR Manager to support transfer process for Bay Area inbound and outbound transfers, including coordination with Global Mobility team, immigration specialists, and other offices’ HR contacts; preparation of transfer agreements, handling orientation and integration for inbound transfers, processing all paperwork for payroll, benefits, etc. and working with transferee’s office for smooth transition
  • Provide support to employees on immigration and visa processes, working closely with internal Bain specialists; maintain knowledge of Bay Area employees’ visa status
  • Administer non-medical leave program (e.g. Take 2)
  • Perform other duties and projects as assigned or as responsibilities dictate

Program Manager for Executive Assistants and Manager Assistants:

  • Manage day-to-day program activities, including: demonstrate leadership; lead performance management process; compile agenda for quarterly meetings and facilitate group discussions; approve timesheets; coordinate temp support as needed
  • Oversee and participate in various integration activities for new hires: coordinate orientation, develop training schedules, and assign colleagues
  • Oversee team building activities and events (select volunteers and monitor team progress); prepare EA/MA budget and track expenses
  • Approve and contribute to semi-annual reviews; recommend ratings and annual performance bonus amounts and merit increases to HR Manager
  • Identify training/professional development needs of EA/MA groups; partner with HR Manager to implement programs
  • Recruit and hire EA and MA staff; establish and maintain on-going relationships with employment agencies
  • Partner with HR Manager on Partner and Manager staffing; advise on Partner/Manager office locations, and EA/ MA assignments
  • When appropriate, oversee performance management process, reassignment or termination of employees, with guidance and oversight from HR Manager
  • Train new Partners and Managers on “how to work with an EA/MA”; provide ongoing advice/coaching to Partners/Managers as needed
  • Handle employee relations issues for the MA and EA groups with some guidance and involvement of HR Manager to resolve

  • BA required with a focus on business, management or human resources preferred
  • Minimum 5+ years’ related work experience
  • Supervisory experience required and HR experience preferred
  • Outstanding written/verbal communication skills required
  • Able to work independently and as an integral member of various teams
  • Ability to deal appropriately with highly-confidential information
  • Ability to prioritize and juggle multiple tasks simultaneously; meticulous attention to detail necessary
  • Microsoft Word/Excel/PowerPoint required
  • Previous use of HRIS systems preferred
